ERP

Should we fix or replace our ERP now, or wait for AI to settle?

Skalable Technologies5 min read

Many finance leaders are holding off on ERP decisions until AI "settles down". It is an understandable instinct: why invest now if the technology is about to change? The trouble is that AI does not replace the foundations an ERP provides. It depends on them.

AI needs the same things a good ERP needs

AI features in Dynamics 365 and other systems work on your data, through your security roles, inside your approval processes. If vendors are duplicated, coding is inconsistent and approvals happen in email, AI has little to work with. The work that makes an ERP run well, clear processes, clean data and sound controls, is the same work that makes AI useful.

Three situations, three answers

Your ERP is sound, but the work around it is manual

Fix the bottleneck now. Many improvements happen inside the systems you already have: an approval workflow, an integration, a report, an automation on one process. You do not need a new ERP to stop re-keying invoices or matching bank lines by hand.

Your ERP is reaching its limits

If you consolidate in spreadsheets, run unsupported versions, or have more workarounds than processes, waiting usually costs more than moving. Plan the change now, starting with the processes and data you will bring across. A modern cloud ERP is also where vendors are putting their AI.

You are not sure

Assess before you decide. Look at what is actually holding the work back: the system, the process, the data or the integrations. The answer is often a mix, and it tells you what to do first.

What waiting really costs

  • Manual work continues, month after month.
  • Data problems grow, and take longer to fix later.
  • Your team spends time on workarounds instead of improvements.
  • When you do move, you move under more pressure.

A practical way forward

  1. Map the processes that matter most and where time is lost.
  2. Fix the quick wins that do not need a new system.
  3. Clean the data that every future step depends on.
  4. Decide on the ERP based on your processes, not on AI announcements.
  5. Add AI where it removes repetitive work, with people approving what matters.

Not sure which situation you are in? Use the quick-win finder, read how to choose the right ERP, or fix one bottleneck first.
